Acceptable Use Policy

This Acceptable Use Policy ("AUP") governs your use of the Portfolio Management System operated by peelpot.co.uk (the "System"). It applies to all users including students, tutors, assessors, and administrators.

By accessing the System, you agree to comply with this AUP. Violations may result in suspension or termination of your account, removal of content, and in serious cases, referral to relevant authorities.

1. Permitted Use

The System is provided exclusively for educational purposes, including:

  • Submitting and reviewing portfolio evidence in connection with a recognised learning programme
  • Completing and marking assessments, assignments, and examinations
  • Communicating with other users in a professional, educational context
  • Administering and quality-assuring educational programmes

All activity must be relevant to your role and the programme you are enrolled in or administering.

2. Uploaded Content

You may upload files (documents, images, video, and text) as evidence or supporting material for your portfolio or assessments. All uploads are scanned for viruses and malware. Permitted file types are: PDF, DOC, DOCX, PPT, PPTX, XLS, XLSX, JPEG, PNG, GIF, MP4, MPEG, and plain text. The maximum file size is 50 MB per file.

When uploading content that contains personal data about other individuals (for example, as part of professional practice evidence), you must ensure you have a lawful basis for including that data and have obtained any necessary consent. Minimise the personal data included where possible.

3. Prohibited Activities

You must not use the System to:

  • Submit content that is illegal, promotes illegal activity, or violates any applicable law
  • Upload files containing malware, viruses, or any harmful code
  • Submit plagiarised, fabricated, or dishonest evidence or assessment responses
  • Impersonate another user or misrepresent your identity or qualifications
  • Harass, threaten, discriminate against, or abuse any other user
  • Share your login credentials or access another user's account without authorisation
  • Attempt to access areas of the System beyond your assigned role and permissions
  • Attempt to probe, scan, or test the System for vulnerabilities without explicit written authorisation
  • Perform automated scraping, bulk downloading, or any action that places excessive load on the System
  • Use the messaging or communication features for spam, unsolicited advertising, or off-topic commercial activity
  • Upload content that infringes copyright, trademarks, or other intellectual property rights
  • Upload content that is obscene, pornographic, or sexually explicit
  • Upload executable files, scripts, or any format designed to execute on a server or client

3A. Files Not Suitable for This System

The following file categories are not suitable for this educational platform and may be blocked, quarantined, or deleted:

  • Executable or installer files (for example: EXE, MSI, BAT, CMD, PS1, SH, JS, VBS, DLL, JAR)
  • Archive or disk-image files that can conceal executable payloads (for example: ISO, IMG, DMG, and encrypted archives)
  • Files containing malware signatures, suspicious macros, or harmful code
  • Pornographic, obscene, or sexually explicit material
  • Hate speech, harassment material, extremist content, or content inciting violence
  • Illegal content, including content that supports criminal activity
  • Content that infringes copyright, confidentiality, or other third-party rights
  • Unrelated personal or commercial data not required for educational assessment
  • Files intentionally renamed or disguised to bypass file-type restrictions

4. Academic Integrity

All submitted evidence, assignment responses, and examination answers must be your own work unless collaboration is explicitly permitted by the programme. Submitting another person's work as your own, or using AI-generated content where not permitted, constitutes academic misconduct and may be referred to your programme administrator.

5. Monitoring and Enforcement

All activity within the System is logged for security and accountability purposes. Uploaded files are scanned automatically. Administrators may review content where there is reasonable suspicion of a violation.

Upon violation, we may:

  • Place files on quarantine hold so they cannot be accessed by end users while reviewed
  • Remove or disable the content immediately
  • Permanently delete files confirmed as unsuitable or harmful
  • Suspend or terminate your account
  • Notify your programme administrator or institution
  • Preserve data and disclose it to law enforcement where legally required

Quarantine, release, and deletion actions are recorded in the system audit trail.

6. No Guarantee of Permanence

Content may be removed for violations, technical reasons, or in accordance with our Data Retention Policy. You should retain your own copies of important work.

8. Changes to This Policy

We may update this AUP. You will be notified of material changes via the System. Continued use constitutes acceptance of the updated policy.
